How to Pack the Office for Relocation

With moving boxes and moving supplies ready to go, begin the packing process by distributing boxes and supplies to individual employees. They should be responsible for packing up their desk, workstation or office. Let them know when they should be completely packed up and ready to go. Use a packing checklist to coordinate the right moving boxes with items that need to be packed.

The Packing Checklist Helps Match up the Right Boxes with Items to Be Packed.

Labeling Will Save You Stress
Label every box. Be specific and make sure every box is labeled with a specific destination. Use color coded labels to make it easier for movers to coordinate where every box goes.

Color coded labels should match up with a  Destination Office Map.

When Do You Start Packing?
Begin with non-essential items up to two months before moving day. Employees should be packed and ready 5-7 days before moving day. Use the Free Packing Tips Guide to help with scheduling your packing process.

How I Managed the Office Move: Hiring Movers

Home Movers Are Not Office Movers

Your first impulse when considering movers is to contact the same company that moved your house. But what I quickly found out is that commercial movers are more familiar with moving office equipment and more experienced when it comes to ensuring everything goes where it needs to go in the new office space. Get your quotes from commercial movers and narrow your list down by price, experience, licensing and insurance verification and basically your overall confidence after a face to face meeting.

Get Your Own Moving Supplies- Order Moving Supplies in One Easy Step

All movers will want to upsell you moving supplies. But you can get your own at a much more reasonable price ( always remember your moving budget!) Plus, there are other factors to consider:
  1. Moving boxes are often leased for a move. The moving company will want them back after the move, rushing your unpacking process.
  2. You may want to keep some things in long term storage and you may want to keep those boxes.

Quick Tip: Order All Your Supplies At Once So You Don't Forget Anything.

What To Pack and What Not to Pack

Moving is a very good time to also take stock of what is no longer necessary in the office. Consider obsolete office equipment and decide if it is really worth taking to the new space. Also documents and records that have been sitting in file rooms for ages become heavy and expensive loads to transport to the new location. Review these records and decide which ones are essential and which ones need to be destroyed.

Managing the Office Move

New Responsibility at the Office

When my boss gave me the responsibility of the office move, I admit I was stressed. I moved out of my apartment, and that was a big deal. Now an entire office of 30 people? Where do I begin?

Take a Breath and Get Organized

I had to really take a minute and look at our current office space. It wasn't huge but it was big enough to be a problem if I didn't take time to get organized. The first thing I did was assign roles to other employees, making one person responsible for packing up each department. When I did my homework, I found out that with larger office moves a moving coordinator would be assigned to do basically what I am doing.

What a Moving Coordinator Does

Map Out Your New Location

Here you have to envision the new office space and the old side by side. I made a color coded chart to help define how the different departments would be set up in the new space. I started out making several drafts that all ended up in the wastebasket. Finally, I found a free online template that helped.

Make A Timeline and Stick To It

I created a timeline that was reasonable. The key word there is reasonable. Don't stress everybody out with tight deadlines. Give every one in every department enough time to pack up their individual offices and cubicles, and eventually their whole department will be buttoned up by moving day. At the same time, don't let the timeline become just a frame of reference. Make sure you schedule weekly meetings with your assigned moving team and ensure that everyone has met their weekly goals for getting packed.
